A 30th or 40th birthday is the first time most people throw a party for themselves. At 25 it was a bar with whoever turned up. Now there are friends from the army, from work, from university, parents who want to come, and one question that comes up in every enquiry we get: will people come, and will it be fun. This guide answers both.
Why a place that closes just for you?
A 30th or 40th brings 35 to 60 people from different chapters of your life. A place that closes just for you puts all of them in the same room: your playlist, the moment you open the dance floor, and someone behind the bar making sure no glass stays empty. Food and drinks are inside, and you get to celebrate instead of organise. That's the format of birthdays at Ezra.
How many people will really come?
This is the question that decides everything: where, what layout, and what kind of evening. And it's usually answered wrong, on the high side.
The first list is bigger than the party
In 800 events we've seen it almost every time: the WhatsApp group starts with 70 names, 55 say yes, 42 come. Friends abroad, miluim (army reserve duty), a couple whose babysitter cancelled. Plan by who confirms, not by who was invited, and take off a little more.
35 to 60 guests is the size that books a venue
From the enquiries we get, this is the size 30th and 40th birthday hosts end up at. Above 60 you need a different space and different logistics. Events for 20 to 50 guests, up to 60, are exactly your range.
Ask in two rounds
Round one, 3 weeks before: "Who's in?", to know whether it's 30 or 50. Round two, a week before: "Who's really coming?", with a name list. The second number is the one you give the venue.
What do you do in each of the 4 weeks?
4 weeks is enough for an ordinary date. For a Thursday, Friday noon or Saturday night in a busy season, start 6 to 8 weeks ahead. Friday noon (shishi tzohorayim) is a real party slot in Tel Aviv, and Thursday is the big night out.
| When | What you do |
|---|---|
| 4 weeks before | Pick a date, estimate numbers (a range), book the venue |
| 3 weeks before | Open a group, send the invite with date, time and address |
| 2 weeks before | Count the yeses, order a cake, start a playlist or book a DJ |
| 1 week before | Give the venue final numbers, make the photo slideshow |
| The day before | Name list, sign, candles, who brings the cake |
What do you bring, and what does the venue provide?
In a place that closes just for you, most things are already there. Your list is short.
What you bring
- Cake and candles (and a lighter)
- A sign or balloons with the number
- A ready playlist, or a DJ you've booked
- A photo slideshow for the projector, 3 to 5 minutes
- A list of who's coming
- Someone to say a few words before the cake
What the venue provides
- Food, usually a buffet or sharing plates
- A bar: cocktails, wine, beer
- Sound and lighting in the room
- A projector and screen, a microphone for toasts
- One contact person producing the evening
What's included at Ezra
Food from the taboon (a wood-fired oven), a bar, a PA with two main speakers, a subwoofer, four monitors and a mixer, a projector and fold-out screen, two microphones, and one contact person. You arrive with a cake and a slideshow, and the rest is waiting.
Kashrut, for guests who keep kosher
Ezra has no kashrut certificate and is open on Shabbat. The menu is dairy-vegetarian only: no meat, no fish or seafood.
What music works when parents and friends share a room?
At a 30th or 40th there are almost always two crowds: the parents and aunts and uncles, and the friends. The answer isn't one playlist that tries to please everyone, it's an evening in two halves.
Until the cake: conversation volume
The first 2 hours, music in the background, people arriving, eating, talking. The parents are comfortable, and the friend who hasn't seen you in 2 years gets time to talk to you.
After the cake: the dance floor
The toasts and the cake are the signal. After them the volume comes up, the dance floor lights go on, and the parents know it's the moment to leave or stay and dance. If you've booked a DJ, have them start playing from the cake, not from the door.
DJ or playlist?
Up to 30 people, a good playlist on the venue's sound system is enough. From 40 people up, a DJ reads the dance floor and holds it. If you go with a playlist, make two: one for conversation, one for dancing.
How do you plan a surprise party without it leaking?
A surprise party is the same planning, with two extra challenges: the secret, and the moment the birthday person walks in.
One person keeps the secret
The partner, or one close friend. They open the group, they answer the questions, and they're the one who asks everyone not to post in other groups. A WhatsApp group of 50 people is the biggest risk, so write at the top of the group: "Don't talk about this outside here."
The birthday person thinks they're going somewhere else
The simplest story works: "I booked us a table at a bar in town", "we're having dinner with your parents". A venue that looks like an ordinary bar from outside helps here, because there's no "private event" sign at the door to give it away.
Everyone arrives 20 minutes early
Guests are inside 20 minutes before the time you gave the birthday person. Latecomers come in after the surprise, not in the middle of it. One person stands by the door with their phone and gets a "2 minutes away" message from whoever is bringing the birthday person.
The bottom line
A 30th or 40th birthday party in Tel Aviv takes 4 weeks to plan, for 35 to 60 guests in a place that closes just for you. Count who's really coming, not who was invited, build the evening in two halves, conversation until the cake and dancing after, and bring the cake, a sign, a playlist and a slideshow. The venue provides everything else: food, bar, sound and a contact person. That way "will they come?" and "will it be fun?" are answered before the night even starts.

How many people should you invite to a 30th birthday party?
Invite the people you want to see, and plan by who confirms. From a first list of 60 to 70 names, usually 40 to 50 come. Reserve duty, travel abroad and young kids move the number, so count again a week before.
How far ahead should you book a birthday venue in Tel Aviv?
4 weeks is enough for an ordinary date. For a Thursday, Friday noon or Saturday night in a busy season, start 6 to 8 weeks ahead, because those are the most requested dates at most venues.
What music works for a birthday party with parents and friends?
An evening in two halves: background music at conversation volume until the cake, then the volume comes up and the dance floor opens after the toasts and cake. Up to 30 people a playlist is enough; from 40 up, a DJ holds the dance floor.
What should you bring to a birthday party at a private venue?
Cake and candles, a sign or balloons, a playlist or DJ, a photo slideshow for the projector and a name list. Food, bar, sound system, lighting and a contact person who produces the evening come from the venue.
How do you plan a surprise birthday party?
One person keeps the secret and runs the group, the birthday person gets a simple cover story like a table at a bar, and all the guests are inside 20 minutes early.
